  • Hours are 9 am – 5:30 pm

  • Located in Center City, Philadelphia, currently working remotely 3 days, 2 days in the office

  • Recent college graduate preferred


  • 2-4 years office administration or hospitality experience

  • Ability to work independently, as well as part of a team

  • Conscientious, motivated, self-directed, and proactive with a willingness to take on additional projects

  • Strong computer skills: Office 365 - Microsoft Office Suite, QuickBooks Pro, Salesforce a plus


  • Maintaining and coordinating calendars for Principal of firm and other executive team members as needed;

  • Tracking employee time sheets by entering data into QuickBooks and preparing quarterly reports.

  • Assisting Senior Vice President, Finance & Administration with any general administrative needs, including mailings, document preparation, data entry, internet research tasks, copying, filing, invoice processing, creating expense reports and tracking monthly expenses;

  • Managing office safety protocols during this remote-work time, including serving as point person for staff and visitor health questionnaires, manage allowable number of staff in offices per CDC guidelines.

  • In office responsibilities include: Managing the reception desk, and kitchen/employee break-out area, including office supply inventory, ordering and organizing supply/mailing area; snacks, drinks, coffee, etc.

  • Handling all incoming calls to the main company number and greeting and directing all visitors, vendors, clients, etc.;

  • Coordinating and making travel arrangements for staff members;

  • Maintaining and keeping company phone list, IT equipment lists updated and distributed;

  • Preparing and distributing incoming/outgoing mail including FedEx and other shipments;

  • Coordinating with IT consultant team for escalated needs or new equipment deployment

  • Providing direct support to Senior Vice President, Finance & Administration on any additional activities required to support office and business activities.

  • Other duties may be assigned as needed and/or required;
